Setting up a bookkeeping system will save you money
Out of curiosity, I Googled “Reasons to use an accounting system” today. While there are a number of reasons why maintaining a proper accounting system should be a priority, there are some key concepts: more accuracy, great efficiency, easy (and quicker) tax preparation, and better costs control.
In our experience, having an accounting system helps businesses in many ways that are not just limited to the improvement of the bookkeeping process itself.
Of course, having well organized books saves you time when you prepare your monthly financial statements or enable you to gather information quickly when you are in the tax preparation period. Furthermore, in case you are outsourcing your accounting (insert link after we publish next post), a good accounting system will save you money: if your information is not organized, someone shall organize it for you (and he probably will charge you for this job).
But what matters the most is that having an accounting system will benefit your business’s profitability:
- It will help you to keep under control your expenses
If you put all your bills in a shoebox, sooner or later you will lose control on how much you spend; an accounting system can provide you with timely and up to date information on your cash flow. - It will enable you to identify overdue accounts (and “bad” clients)
Most accounting software alerts you when a bill is past due; in some cases they send automatic reminders to the customer relieving you from contacting them personally. This will help you identify clients that are always late in their payments and, also, to find out who owes you money at the time that you are experiencing a cash shortage or need funding. - It will give you financial indicators to adjust your short and middle time strategies
Information, if not organized, is useless. An accounting system organizes your information so that it can really help you taking the best decision for your business. With an accounting system you can discover timely if a strategy is not working and change it. - It will contribute to create a professional image and good reputation for your company
It is not just a matter of professional looking invoices. If your processes are efficient and well organized, the outside world will notice it. Customers, suppliers and business partners will be more comfortable working with you if they know that you manage your bookkeeping with a reliable system. - It will make filing taxes easier
An accounting system helps you to stay on top of your books all year around. This will save you some headaches during tax preparation time and, last but not least, keep Government happy.
In brief, with an accounting system you gain more control over your business, less stress, better profitability and even better business relationships.
